School Council Executive

The Council is composed of:

a)   up to ten parents/guardians of students enrolled or registered in the school elected by the parents/guardians;

b)   up to two teachers elected by members of the teaching staff;

c)   up to one administrative/support staff member elected by the administrative/support staff;

d)  up to one community representative appointed by the Council;

e)  the school principal.

All meetings are open to members of the school community and the general public.

Parent Council Positions

Want to get involved and be active in your child’s school? Please review the following open parent council positions and let us know if you are interested.

Chairperson: Voted-in position at the 1st parent council meeting in September, duties to include:

  • Oversee the running of fundraisers and events throughout the year with the assistance of sub-committees and volunteers where available;
  • Call and Chair Council meetings (7-8 meetings per year);
  • Prepare the agenda for Council meetings with input from the Council;
  • Print agendas, prior meeting minutes and financial reports in preparation for each Council meeting (may be done at school);
  • Ensure minutes are recorded and maintained;
  • Communicate with the school principal;
  • Ensure regular communication with the school community;
  • Respond to emails received via Parent Council email boxes;
  • Consult with school board staff as required;
  • Prepare end of year report for submission to the School Board;
  • Submit end of year financial report to the School Board.

QSP Magazine Fundraiser Coordinator: The QSP magazine fundraiser raises around $1500 per year and requires approximately 4 hours of upfront work.  Planning needs to begin at the beginning of the new school year with magazine catalogues and parent letters going home with the children in time for the Thanksgiving weekend.  Tasks include:

  • Communicate with the local QSP representative;
  • Update and monitor the school’s QSP sales pages;
  • Copy and Distribute parent letters and delivers sufficient to each classroom along with provided promotional materials;
  • Collect paper orders from School office and after the deadline sends them to QSP;
  • Distribute prizes to appropriate classrooms;
  • Pass cash and cheques to school council treasurer for deposit.
  • A full handover document will be provided detailing all the steps required.

Hot Lunches Website Webmaster: Requires 2-3 days of upfront work at the start of the school year, then on average, 1-2 hours of work spread throughout each month. Tasks include:

  • Work closely with the hot lunch coordinator;
  • Update vendors, products, pricing etc. in the hot lunches system;
  • Create new schedules and menu’s for each hot lunch;
  • Send out communications to all parents;
  • Support parents’ questions or issues when using the hot lunches website;

Parent Council Website Webmaster: Requires on average, an hour of work spread throughout the week. Tasks Include:

  • Managing and maintaining the HCPS Parent Council Website pages;
  • Attaching meeting minutes and updating the date for the next parent council meeting;
  • Sending our parent council posts / communications;
  • Adding new post subscribers
